Setting up:

 

Provide the online web address

In order to sync records from Outlook to the central database, QSync needs to be able to log into QwikTEAM online. Therefore, it needs the Web URL address of your QwikTEAM installation. 

It's easy to get. Enter your Company Number in the Company Number box (get that from your administrator) and click [Retrieve URL].

A URL web address should display in the Server box:

 

 

Add your log in credentials and test.

Next, it needs your user name and password, so enter them and click [Test]. 

 

All going well, you should see this:

 

Don't forget to [Save setup info!].

 

Set up preferences

Next step - log into your Home page in QwikTeam and set up your preferences to have email and appointments synced. This will then be shown under [Settings] > [General] on QSync:

QSync is a desktop application that runs in background that will synchronize emails and appointments from your personal Outlook folders with the online, central database. Although QwikTeam has built-in emailing, it's often convenient to use your desktop version of Outlook for emailing, either in addition to, or as a replacement for the online email module.

This functionality is provided by the synchronization application, QSync.

Synchronizing emails and appointments

By installing the synchronization manager, QSync, on your desktop then specifying certain of your own email addresses, you can automatically synchronize your Inbox and Sent items folders and appointments in Outlook into the central, online database.

Please note: Synchronization does not support Outlook Express. You must be running Outlook to use this feature.

How to set up email sync

After you have installed the synchronization manager, QSync, on your desktop computer, you will see an icon in the icon tray indicating sync is active.

Next, open your web browser and run QwikTeam:

Step 1: Confirm synchronization.

a. Go to your Home Page.

b. Click the [Preferences] tab.

c. Click the 'Synchronize with my desktop Outlook?' checkbox.

d. Click [Save preferences].

Step 2: Define all the email addresses you use

a. From your Home page, click the [EMail info] button. 

b. In the first box (beside the 'My Email Addresses' text), type one of your email addresses, then click [Add the above to the list below], to add it to the list. 

c. Continue adding email addresses as needed.

d. Click [Save information].

What this does

By entering an email address and clicking the Synchronize checkbox, you will be telling the desktop synchronization process that any emails addressed to, or sent by any of those email addresses will be exported from Outlook into the central database.

What else this does

By entering only certain email addresses, it allows you to leave out any of your email addresses that do not meet your requirements for export.

For example, assume you set up these email addresses in Step 2 above:

- me@thiscompany.com
- me@anotherplace.com
- me@athirdplace.com

but you don't set up this one:

- me@hotmail.com

Any emails you send using the first 3 emails or any emails you receive addressed to any one of the first 3 emails will be evaluated by QSync for synchronization.

Any emails sent to the 4th address (me@hotmail.com) will be ignored.

Accessing the Synchronization Manager

Once installed and set up, you normally don't need to access QSync. It starts automatically when you start your computer and runs in background.

However, you can access it double-clicking the icon (or right clicking and selecting "Restore") in the bottom right area of your computer screen (the system tray). 

There are various tabs to view the sync log, set preferences, temporarily suspend synchronization or manually force synchronization.

Under the [Options] tab of [EMail sync] is an option to "go back" any number of days to to resynchronize for any time period, for any reason.

Synchronization automatically starts when you start your computer, although you can also start it by selecting Start > Programs > Dalco > QApps > QSync Outlook sync. You can stop QSync by restoring it from the system tray, and clicking [Close].
